If you’re a Business Development Manager in property management, you already know the truth: prospecting is the engine room of your role. Without a full pipeline, there is no new business. Without new business, there is no growth for you, your agency, or the landlords who deserve better management.

And yet prospecting is the part of the job most BDMs avoid.

It’s not because BDMs are lazy. It’s because most BDMs were never actually taught how to prospect with confidence. They were handed a phone, a list, and a KPI, and told to “get out there and get some listings.”

After 14 years in this industry, coaching hundreds of BDMs across Australia and New Zealand through RISE With Sarah Cincotta, I can tell you this: prospecting is a skill, not a personality trait. It can be learned, refined, and mastered. Here is how.

1. Know Exactly Who You’re Talking To

Every strong prospecting strategy starts with clarity on your ideal landlord. Are you targeting first-time investors who need education and reassurance? Seasoned portfolio owners who want strategic advice and returns? Landlords who are underserviced or unhappy with their current agency?

The BDMs who prospect with the most confidence are the ones who know precisely who they’re speaking to and why their offer matters to that specific person. Vague prospecting produces vague results. Targeted prospecting produces conversations.

2. Build a Multi-Channel Nurture Approach

Relying on one prospecting method (cold calling, letterbox drops, door knocking, or digital outreach alone) is one of the biggest mistakes I see BDMs make. The landlords and investors you’re trying to reach are consuming information across multiple channels, and your prospecting strategy needs to meet them there.

The goal isn’t to do everything at once. It’s to build a consistent, repeatable rhythm of touchpoints that keeps you front of mind long before a landlord is ready to switch agencies.

3. Lead With Value, Not With a Pitch

The old school approach to prospecting was to lead with “we can get you a better return” or “switch to us.” Landlords have heard that pitch a hundred times, and it rarely lands anymore.

Instead, the most successful BDMs I coach lead with genuine value. This means:

  • Sharing real market insight relevant to the landlord’s suburb and property type
  • Asking thoughtful questions about their current experience and goals
  • Positioning yourself as a strategic advisor, not a salesperson chasing a listing

This is the foundation of what I call the Investor Relationship Specialist mindset. When you shift from “BDM chasing a number” to “trusted advisor solving a problem,” prospecting stops feeling like a hustle and starts feeling like relationship building.

4. Master the Follow-Through, Not the “Follow Up”

Here’s something I say to every BDM I coach: stop “following up.” Following up is vague and easy to deprioritise. Instead, build follow-through into your calendar with named, specific actions.

Instead of “I’ll follow up next week,” commit to:

  • “I’ll call Sarah at the property on Wilson Street on Thursday at 10am with the updated market appraisal.”
  • “I’ll send David the investor comparison sheet by Friday and book our next call for the following Tuesday.”

Specificity creates accountability. Vagueness creates a pipeline full of leads that quietly go cold.

5. Track Your Numbers So You Know What’s Working

You cannot improve what you don’t measure. The BDMs who consistently win new business track their prospecting activity against their outcomes, including:

  • Number of calls, doors knocked, and appraisals booked
  • Conversion rate from appraisal to listing
  • Source of each new client (referral, cold outreach, digital, past client)

This data tells you where your energy is best spent and where your messaging needs work. It also builds your confidence, because progress becomes visible instead of invisible.

6. Protect Your Mindset as Much as Your Method

Prospecting brings rejection, and rejection is uncomfortable. But the BDMs who thrive long term are the ones who separate their self-worth from a landlord’s “not right now.” Every “no” is data, not a verdict on your ability.

Build routines that protect your energy: start your day with intention, celebrate small wins, and remember that every conversation you have is planting a seed for future business, even when it doesn’t convert immediately.
