In business development, success doesn’t start at the appraisal. It starts well before you even step through the door. 

A well-prepared Business Development Manager is already winning the deal before they arrive. The level of trust, authority, and credibility you have in the eyes of a potential client is directly influenced by how you position yourself before an appraisal.

Here’s how to make sure you’ve already won their confidence before the first handshake.

1. Pre-Appraisal Email: The Power of First Impressions

Your first direct communication with a prospective landlord should set the tone. A pre-appraisal email should introduce yourself, emphasise your expertise, and outline the expectations for the upcoming meeting. It’s also the perfect place to include useful resources, such as:

  • A link to your most recent video testimonials showcasing satisfied clients.
  • A “Prepare Your Home for Rent” guide to help them understand key considerations before leasing their property.
  • A brief FAQ booklet answering common concerns landlords may have.

Demonstrating your professionalism and building trust can be achieved by offering value upfront, without any initial expectation of reciprocation.

2. A Strong Comparative Market Analysis (cma)

A CMA isn’t just a tool. It’s a way to prove you know the market better than anyone else. A great CMA should be:

  • Visually appealing and data-driven, with clear graphs and recent rental comparisons.
  • Tailored to the property, not a generic report.
  • Presented in a way that tells a story, helping landlords understand where their property sits in the market and how to maximise its potential.

When a client sees you’ve already done the research, they’ll be far more likely to trust your recommendations.

3. Marketing Strategies: Show Them the Plan

Landlords want to know how you’ll attract quality tenants. Before the appraisal, provide them with a sneak peek into your marketing strategy, such as:

  • The social media exposure their property will receive.
  • The marketing presentation standards you uphold.
  • The tenant screening process to ensure their property is well cared for.

If you can articulate a clear, effective marketing plan before they even ask about it, they’ll already see you as the expert they need.

4. Build Authority Through Knowledge: Compliance & Legislation

BDMs who understand property management legislation gain an immediate edge. Recent legislative changes across Australia mean landlords have more to keep up with than ever before. If you can confidently guide them through compliance and minimum standards obligations, you position yourself as not just a BDM but as a trusted advisor.

Providing a concise compliance checklist or a summary of key legal obligations in your pre-appraisal communication further enhances your professional image.

If you’re conducting an open home before the appraisal, why not invite the prospective landlord to attend? This lets them see how you operate in real time: how you interact with tenants, present a property, and conduct yourself. It’s a subtle but powerful way to reinforce your expertise without a sales pitch.

6. The Value Proposition: Why You?

Every BDM must be able to answer the question: Why should a landlord choose you over someone else? Your value proposition should be crystal clear before you walk into the appraisal. Highlight:

  • Your success rates and case studies.
  • Your client retention numbers.
  • The added value you bring beyond just securing a tenant.

This isn’t the time for generic statements. Be specific and back it up with real examples.

Winning the Deal Before the Meeting

The most successful BDMs don’t just show up and hope for the best. They prepare, educate, and add value before they even meet a potential client. By taking initiative and following these steps, you will foster trust, demonstrate authority, and simplify the landlord’s decision-making process, even before meeting them face-to-face.

Remember, the groundwork you lay beforehand determines whether you’re walking into that meeting as just another agent, or the clear, undeniable choice.
